Union and Association Software Challenges We Solve
A membership organization runs on its roster, and almost everything depends on it staying right. These are the problems we met building for a teachers' union and its benefits fund.
Challenge: A Roster That Comes From Someone Else
Our Solution: The union's roster arrives each month as a CSV from an outside vendor, and between two exports the vendor changed every member ID. Our import keys on the vendor's own stable ID, checks the file before it writes anything, previews new, returning and leaving members, and marks departed members inactive instead of deleting them. A drop of more than 20% needs an admin to sign off.
Challenge: Members Who Won't Create Another Password
Our Solution: More than 14,000 members needed to sign in without anyone creating accounts, and one-time links sent to school email are often opened by the mail scanner before the teacher sees them. Members type their email address and get a 6-digit code, which a scanner can't use up, with a sign-in link as a backup. The roster decides who may sign in.
Challenge: Reaching the Right Members, and Only Them
Our Solution: Staff email members by school, job title, bargaining unit, dues type or legislative district. One database function defines each audience, so the count staff preview and the list that gets the email can never disagree. Every recipient is recorded, failures retry, and an unsubscribe always wins over being added by hand.
Challenge: Information Stuck in Code
Our Solution: On the old site, the staff-rep lookup was a script with schools and reps typed into it, and the membership figure had drifted about 360 members above the real roster. We moved each piece into the database with an admin screen, and the public membership figure now comes from the roster at every build.

Common questions about working with us.
Can our members sign in without creating a password?
Yes. On the teachers' union platform we built, a member types their email address and gets a 6-digit code, with a sign-in link as a backup. Codes hold up better than links on school and work email, where scanners often open links before the person does. Your roster decides who can sign in, so nobody has to create or approve accounts.
Can you import our roster from our membership vendor?
Usually, from the CSV export most vendors provide. We map each column during discovery, and the import checks every file before it changes anything: missing or duplicate IDs stop it, a preview shows who is new, returning or leaving, and members who leave are marked inactive rather than deleted.
Can staff email members by school, worksite or district?
Yes. Audiences are built from your roster's own fields, such as school, job title, bargaining unit or legislative district, and the member count updates as staff add filters. Sends run through a queue that records every recipient and retries failures, and an unsubscribe is always honored.
Do you work with benefit funds as well as unions?
Yes. We built the PFT Health & Welfare Fund's member portal, where members see each benefit's coverage and pay prescription, vision and COBRA premiums by card or bank transfer. Our healthcare page covers that work in more detail.
How do you protect member data?
Staff permissions are checked on the server, row-level security in the database keeps each member to their own records, and staff actions such as exports and member searches are logged. We sign NDAs, and a BAA before we work with health information.
How much does a union website or member platform cost?
A public website your staff edit usually fits our Business Website tier, $5,000 - $12,000. A member platform with sign-in, roster imports, email or payments falls under Custom App Development, $18,000 - $50,000. Proposals come in phases with fixed hours and prices, so you can start with the site and add member tools later.
Who owns the platform when it's finished?
You do. Once the final payment is made, the code, designs and database belong to you. The domain is registered in your name, and hosting, database and email are billed to you directly.
What happens after launch?
Bug fixes are free for at least a month after launch, and longer for larger projects. After that, support is hourly or a monthly plan from $375 for 5 hours, covering security updates, uptime and error monitoring, fixes, and changes as your roster or rules change.
